information we collect
Depending on your role, we collect the following.
- Trainers: name, email, phone number, business name, GST and QST numbers if you provide them, and billing details for your subscription.
- A trainer's clients: name, email, phone number, training programs, meals and food notes, weight and measurements, progress photos, completed sessions, and messages exchanged with the trainer.
- Payments: the amount, date and status of each payment. Card numbers are entered with the payment provider, not with us.
- App use: technical data needed to run and secure the service, such as login date and device type.
- This marketing site: if you write to us, your message and your email address.
why we use it
- To provide the service: programs, tracking, meals, contracts, appointments and payments.
- To manage your account, your subscription and billing.
- To answer your requests and give support.
- To protect the service, prevent fraud and fix errors.
- To meet our legal obligations, including tax obligations.
We do not use your clients' health data for advertising, and we do not sell it.
your consent
We collect your information with your consent, which is given clearly, freely and for specific purposes. Consent to the use of health data and photos is requested separately, when they are added. You can withdraw it at any time, which may limit some features of the service.
If a person is under 14, consent must come from the person with parental authority or the guardian.
health data and the trainer's role
Programs, meals, weight and progress photos are sensitive information. The trainer collects them to provide coaching services. OKTO Solutions acts as the trainer's service provider: we host and process this data on the trainer's behalf, on their instructions and to deliver the service.
In practice, the trainer decides what to ask of their clients and how long to keep their data. To exercise a right over your health data, contact your trainer first. You can also write to us, and we will pass your request on or answer it, as appropriate.
The trainer remains responsible for obtaining their clients' consent and for using their data only for coaching.
sharing with third parties
We do not sell your information. We share it only as far as the service requires:
- an online payment provider, to process payments and the subscription;
- a hosting provider, which stores the service's data on our behalf;
- authorities, when the law requires it.
These providers have access to information only for the task entrusted to them. If information were ever hosted or processed outside Quebec, we would do so in accordance with the requirements of Law 25.
retention
We keep information as long as the account is active and the service needs it. When an account is closed, the information is destroyed or anonymized within a reasonable time, except what the law requires us to keep, such as invoices and tax records. You can ask us to delete your information at any time.
security
We apply reasonable security measures proportionate to the sensitivity of the information: access limited to those who need it, accounts protected by authentication, and secure communications. No system is perfect. If a confidentiality incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the people affected, as the law requires.
your rights
Under the Act respecting the protection of personal information in the private sector (Law 25), you may:
- ask for access to the information we hold about you;
- ask for it to be corrected if it is inaccurate, incomplete or equivocal;
- withdraw your consent;
- ask for your information to be deleted or no longer disseminated, in the cases provided by law;
- ask for a copy of your information in a structured, commonly used technological format.
Write to info@oktosolutions.ca. We may verify your identity before acting, and we answer within 30 days of the request.
cookies and trackers
This marketing site uses no tracking cookies, no trackers and no analytics tools. Fonts are hosted on our own site. If that changes, we will ask for your consent before turning anything on.
complaints
If you believe your rights are not being respected, write to us first. You can also file a complaint with the Commission d'accès à l'information du Québec: cai.gouv.qc.ca.
changes
We update this policy when needed. The date of the last update appears at the top of the page. For an important change, we notify the service's users.
